Introduction
A list of business contacts is better than a whole bunch of standard e-mails. Sales contacts, customer addresses, supplier details and phone numbers help the employees to maintain the relationships and to keep the daily operations running. Losing access to these records can cause serious problems for a company.
This case study is based on a fictional distribution company that was faced with a difficult data recovery scenario. Its sales department had lost access to an employee’s Outlook profile and the only remaining copy of several key business contacts was stored in a severely corrupted OST archive.
The IT team had to find a solution to extract the contacts without affecting the source file and without interrupting ongoing business processes.
The Company and Its Data Recovery Challenge
Northbridge Distribution is a mid-sized company with 215 employees. The company used Outlook to communicate with customers and coordinate sales. The sales people had lots of information about customers and suppliers in the form of Outlook contacts.
One Monday morning the company found that they could not properly open the Outlook profile of a former sales manager. The employee had left the organization three weeks ago and the sales team could no longer easily access the original mailbox.
The local OST file size was approximately 18.6 GB. It was filled with years of email exchanges and a treasure trove of business contacts.
The IT administrator tried to open the file but Outlook was not loading several folders and was giving errors. The administrator tried several times to get into the Contacts folder, but to no avail.
Urgency soared when the sales manager’s replacement had to contact 640 customers and suppliers for an upcoming distribution campaign.
Evaluating the Damage
So the IT team started by evaluating what data they had, and what could be salvaged.
The first evaluation indicated that:
· 1 severely corrupted OST file to investigate further.
· Approx. 18.6 GB of Outlook local data.
· It is believed that approximately 1,240 business contact records were held in the affected archive.
· The sales department needs 640 customer and supplier contacts urgently.
· 215 employees could be impacted by delays in the sales process.
· No current export of the full contact list could be verified.
The team also found some contacts in older spreadsheets, but they were incomplete and the telephone numbers were out of date.
Rather than repeatedly trying to repair the file, the administrator chose to back up the original archive and look into a special recovery and conversion technique.
Original OST File Protection
The first thing was to prevent the situation from getting worse. The administrator created a working copy of the corrupt OST file leaving the original on a secure backup drive.
Then they noted the file size, location and known symptoms. They also identified what contact records were available from other sources.
This step was important because doing several repairs or experimental conversions could make the recovery more difficult. The original file was not modified during the investigation.
The administrator also confirmed the company's right to access and retrieve the business data of the former employee.
Selecting a Recovery and Conversion Methodology
The IT team thought about a couple of options. Rebuilding the Outlook profile might recover data that still existed on the mail server, but would not necessarily recover information that was only in the damaged local archive.
Another option was manual extraction, but the team felt that it would take too much time to review over 1,000 contact records individually.
So, they tried a specialised OST to PST conversion tool that was able to scan the corrupted archive and try to recover the mailbox items that were accessible.
They needed a convenient way to process the local Outlook archive and check the recoverable contact data. So, the team decided to check out the TrustVare OST to PST converter. The administrator ran the software on a copy of the file prior to the main operation.
The team did not assume that every record was recoverable. Severe corruption can make some mailbox items inaccessible, so the goal was to retrieve as much usable information as possible while maintaining the original source.
The Recovery Process
The administrator then loaded the working copy of the OST file into the converter. It took the software about 18 minutes to scan the archive and list the folders it could read.
The Contacts folder seemed partially accessible but some entries could not be previewed.
The team then followed a systematic approach:
1. Choose the Contacts folder you want.
2. Reviewed the contact records in the software.
3. Selected the appropriate output format for the Windows Outlook environment.
4. Initiated the conversion with the copied OST file.
5. Copied the output generated to a different recovery folder.
6. Logged the number of records successfully processed and any errors encountered.
The first attempt returned 1,086 contact records. The remaining entries were unreadable or needed further investigation.
The whole process, from the first scan to the output, took about 42 minutes.
Contact Recovery and Verification
The sales department verified the results before the recovery process was deemed to be successful.
The IT team compared the recovered records to the older spreadsheets and a sample of customer correspondence. They looked at names, email addresses, telephone numbers, company names and other contact details that they could find.
37 duplicate records and 19 incomplete contacts were discovered during the verification. Instead of being automatically deleted, these records were slated for manual review.
Once the recovered data was cleaned and validated, the team was able to identify 1,030 contact records that could be used for the immediate sales campaign. This was approximately 83% of the estimated original contact population.
The team also found 56 high-priority customers whose information wasn’t in the older spreadsheets. The sales department was able to avoid further delays by recovering these records.
Impact on the Company
The restoration did not restore all contacts, but it greatly lessened the effect of the corrupted archive.
The confirmed contact list was received by the sales department in one business day. The team was able to start contacting customers without having to completely rebuild the former employee’s mailbox.
Also, the company learned some practical lessons:
· It should not be assumed that important business contacts are contained solely within the Local Outlook archives.
· Regularly export and back up the contact data.
· Always work on a copy of the original file when recovering.
· Conversion results should be checked before being used in business operations.
· Important records should be maintained in a controlled and accessible form.
Conclusion
This case study shows how a badly corrupted OST archive can create a serious business continuity problem, particularly when critical contacts are stored locally and there is no recent backup.
By protecting the original file, assessing the damage, testing a viable conversion method, and validating the recovered records, Northbridge Distribution was able to recover a significant percentage of its essential contact data.
The experience reinforced a key principle: email recovery is more than simply getting messages back; it's about protecting the business information that drives day-to-day decisions and customer relationships.
