If your rental return process ends with "we took photos," you may be closing files on evidence that cannot actually settle a damage dispute. Mirrored views and mud-covered joints make wrong-side matches deceptively convincing, and if a roller or track segment was swapped mid-rental, that change needs its own record rather than being presented as a before-and-after of the same part.

Missing baseline evidence is a separate trap. A blank checkout field is not the same as "no damage" — it should be logged as "not recorded," with the specific gap identified, and a genuine effort made to recover contemporaneous evidence like delivery sheets or handover emails before anyone assumes a pass or fail. The same discipline applies to hour-meter readings: a mismatch between the written sheet and the photographed display is a conflict to resolve, not a number to pick because it's convenient.

Observations also need to stay separate from cause. Stating that "a 35 mm cut is visible on the outer shoulder of the third lug" is verifiable; attributing it to how the machine was operated is not something a photo alone can establish. Items that can't be resolved from the return evidence — a damp roller, unexplained noise, uneven track movement — should be marked pending technical inspection rather than guessed at.
