If your team sends a complete drawing package as soon as a supplier signs an NDA, you may be disclosing details before they serve any purchasing decision. A confidentiality agreement does not, by itself, establish who can access the files, whether subcontractors may receive them, or whether a quotation package is authorized for manufacturing.
The practical starting point is purpose: what decision does the supplier need to make right now, and what information is necessary to make it?
For an initial capability check, part type, approximate size, material family and quantity range may be enough. A quotation needs the geometry and tolerances required for pricing. Pre-production review needs the controlled drawing and inspection requirements. Production requires an approved release—not an assumption that files supplied for quotation also authorize manufacture.
Before any disclosure, confirm your authority to share the information. Possessing a drawing does not necessarily mean you can pass along customer, OEM or other third-party data. Potential export-control concerns require a separate authorized review.
Then make each release traceable. A short disclosure manifest should identify:
The receiving legal entity, contact and any permitted sub-tier recipients.
The stage and intended use, such as quotation only.
Each file, format, revision and date.
Who approved disclosure and the basis for sharing.
Access arrangements, use restrictions and onward-sharing limits.
Receipt confirmation, closeout expectations and the responsible owner.
The work does not end when the files arrive. When the quotation closes, record what was returned or deleted, who confirmed it, and which information was explicitly carried into the next stage. If a supplier requests more data, clarify the decision it supports before expanding the package.
